JOB DESCRIPTION AND REQUIREMENTS:
Location: New York City
Hours: 40/week, with OT pre-approved by managers
Hybrid: At least two (2) days per week in the office
Responsibilities:
Advanced verbal and written communication skills for both internal and external audiences
Client reporting according to preferred cadence
Press hit circulation in real-time (links or clips) for clients who require instantaneous visibility
Work with media outlets and PR teams to manage all sample trafficking
Kick-off reports, recaps, strategies, and grids with all general information before passing along to the wider team
Maintain and update client pitch, coverage, and upcoming credits grids
Build and maintain relationships with East Coast media and stylists
Proactively kick-off reports, recaps, strategies, and grids with all general information before passing along to the wider team
Participate in weekly client and internal calls, take notes, and circulate agendas and recaps/next steps when appropriate
Participate in the gifting process from list curation, outreach, and execution, to monitoring and reporting
Assist in drafting client product pitches
Event Support
Assist in Event Production
Manage RSVP/Guest List
Attend client events to assist with on-site needs
Lead maintenance and growth of:
Fashion media outlets for pitching, within master media list
Media master lists
Product pitching, both proactive and reactive
Other admin tasks such as scheduling calls, downloading, and saving client files, circulating client assets, and other tasks as they arise
Be in the know of and show genuine interest in industry news and events
Assist in daily monitoring for celebrity placements in press and social media
Assist with celebrity media alert blasts when needed
The ability to be flexible and adaptable in a changing environment
Time management and adherence to deadlines essential
Strong organizational skills and attention to detail with a collaborative spirit are a must
Proactive nature, jumping in to manage up and anticipate team and client needs
Staying in-the-know with relevant industry, brand, and local news and updates
Ability to troubleshoot quickly, and come to the table with solutions when issues arise
Maintain and support managers with agency and client expenses at the end of each month
Participate in internal learning seminars and bonding activities
Grow personal industry network to benefit the agency and clients
Lead research initiatives, as appropriate
Hiring and manging interns
Low level of support/flexibility to manage needs at the New York Loft, e.g. deliveries, appointments, etc.
